The usual problems

Where coliving electricity billing breaks

One building can hide a messy process. Ten buildings make it the operating system.

  • Electricity Billing Varies Across Properties

    Electricity Billing Varies Across Properties

Different buildings follow different billing processes, making standardised electricity billing across cities difficult.

  • Frequent Move-Ins and Move-Outs

    Frequent Move-Ins and Move-Outs

Residents leave before electricity bills are settled, making it harder to recover outstanding charges after checkout.

  • Shared Facility Costs Create Billing Disputes

Shared Facility Costs Create Billing Disputes

Common kitchens, laundry and shared amenities add electricity costs that residents may question when bills lack clarity.

  • No Centralised View Across Buildings

    No Centralised View Across Buildings

Operations teams cannot visit every property to check meters, leaving readings dependent on on-site staff.

  • Property Readings and Accounts Do Not Match

Property Readings and Accounts Do Not Match

Meter readings and site-level spreadsheets must be reconciled manually, slowing monthly billing across properties.

  • Move-Outs Leave Unsettled Electricity Dues

    Move-Outs Leave Unsettled Electricity Dues

When residents vacate mid-cycle, outstanding electricity charges can be difficult to calculate and recover promptly.

Challenges

Electricity billing gets complex across coliving properties

Operators need consistent billing, community managers handle move-outs and disputes, and residents expect transparent charges.

Every Property Has a Different Electricity Billing Process & Timeline

Different buildings follow different billing processes, making it difficult to reconcile electricity usage and collections across a multi-city portfolio.

  • Different Billing Process at Each Site

Community managers follow different processes for readings and monthly electricity billing.

  • Property Readings and Accounts Disagree

Site readings and account records often differ, delaying monthly reconciliation.

  • No Centralised View Across Properties

Operations teams cannot visit every building to verify meter readings each month.

Community manager

Move-Outs Happen Before Electricity Bills Arrive From DISCOM / Utility

Frequent resident turnover makes electricity cost recovery difficult when readings and final charges are calculated after checkout.

  • Unpaid Bills After Residents Leave

Residents move out before their final electricity charges are calculated and collected.

  • Shared Facility Costs Create Disputes

Kitchen and laundry electricity gets mixed into resident room charges.

  • Move-Out and Billing Dates Do Not Match

Residents leave mid-cycle, making final electricity dues harder to settle.

Residents

Residents Cannot Verify Their Electricity Consumption & Bills

Without clear room-wise readings, residents struggle to distinguish their own electricity consumption from shared facility costs or previous balances.

  • Shared Electricity Costs Lack Clarity

Kitchen and laundry consumption is not shown separately from room usage.

  • Electricity Dues After Move-Out

Residents face outstanding charges even after they have left the property.

  • No Way to Verify Room Consumption

Residents receive a total charge without clear room-wise usage records.

The ideal run

How Coliving Electricity Billing Should Work?

A simple process to standardise electricity billing across properties, settle resident balances at move-out, and separate room usage from shared costs.

  1. 1

Standardise Electricity Billing Across Every Property

Use consistent room-wise readings and billing rules across locations to simplify monthly reconciliation and maintain accurate electricity records.

  2. 2

Settle Electricity Dues When Residents Move Out

Check room usage and outstanding electricity dues at move-out to reduce unpaid balances and avoid chasing former residents.

  3. 3

Separate Room Usage From Shared Electricity Costs

Track resident consumption separately from lifts, kitchens, and laundry to make room-wise charges clearer and easier to verify.

What Should You Do?

Manage Coliving Electricity Billing With Qube

When you run multiple coliving properties, electricity billing should not mean starting from scratch at every building. Qube helps you track room usage, keep shared area costs separate, and check outstanding balances when a resident moves out.

  • A meter connected to a room, an air conditioner, and a light

Put Smart Submeters On Each Rental & Shared Spaces

Know how much electricity each room or space uses. Keep tenant consumption separate from common areas instead of splitting one utility bill.

  • Prepaid and postpaid billing on a phone and a bill

Choose Relevant Billing Mode, Prepaid Or Postpaid

Let tenants recharge before using electricity, or bill long-stay residents and departments later. Run both billing methods on the same platform.

  • Usage charts on a laptop and a phone

Manage Readings, Recharges, Balances, And Usage Records in One Place

See electricity usage, outstanding balances, and collections on one dashboard. Spend less time updating spreadsheets and reconciling records.

  • Power staying on at night, on weekends, and on holidays

Keep Power On During Nights, Weekends, And Holidays

Set Happy Hours, Happy Days, and Happy Weeks to prevent automatic power cut-offs during selected nights, weekends, and holidays—even when the balance is low.

  • A recharge that still collects the balance on the meter

Record Every Electricity Unit, Even When Payment Is Pending

Scheduled grace periods do not wipe out electricity dues. Usage remains recorded, and outstanding amounts can be collected through the next recharge.

  • The owner, the desk, and the tenant seeing the same usage & recharge records

Give Everyone the Same View of Electricity Usage & Recharges Transparently

Owners, property staff, and tenants can refer to the same usage records. Fewer spreadsheets, fewer conflicting numbers, and clearer billing discussions.

  1. 01

Put a smart prepaid meter on every room, flat, apartment or shared space

  2. 02

Residents recharge themselves on QR or the tenant app or the web portal

  3. 03

API-ready if you already run your own PMS or have a resident app of your own

Other features for coliving electricity billing

  • Electricity billing continues if WiFi drops

On-device billing keeps the bed account going without internet, and cuts power at zero balance.

  • An alert before room electricity is cut

Recharges, a low balance, and abnormal use show up while the resident is still in the building.

  • The resident sees what the stay needs

Balance forecast uses that bed’s pattern, so a move-in recharge is not a guess.

  • Share the bed reading at move-out

Send usage and history with a link when the closing balance is questioned.

  • Generator electricity has a higher rate

Diesel can take a higher tariff than grid power, so the building recovers the extra cost.

  • Shared charges come off the bed

A predefined common-area charge deducts from each meter, so kitchens and lifts stay off the room.

  • Electricity readings stay saved if WiFi drops

Hourly usage stays on the meter and syncs when that building’s network is back.

  • The numbers can go into the PMS

Usage and collections are available through the API, so the portfolio does not keep a second sheet.

Frequently asked questions

Can't find the right answer here? Visit our FAQ

Can one Qube account cover several buildings?

Yes. Operators use one dashboard for multiple sites. Start on the store for a first building, then talk to sales if you need a portfolio rollout or API access.

What happens when a resident vacates mid-month?

Prepaid keeps unused balance on the meter account you control. You are not chasing a final reading after keys are returned.

Do we have to use the Qube apps?

Residents can recharge with QR. If you already have a resident app or PMS, talk to sales about API access. FF21 published a case study of that path.

How is this different from a PG install?

A PG is often one building and one owner. Coliving needs the same meter, plus portfolio views, faster turnovers, and optional API into your existing stack.

Which submeter fits my building?

Start at the meter matcher. It asks how you bill and how power reaches the building, then names the meter. Most people finish in about two minutes.

Do I need a large order to test Qube?

Start with 1, 2, or 3 meters from our store and test Qube on a real circuit. Your platform fee is waived for the first 45 days, so you can experience the platform, track actual results, and see the impact before scaling.Need more meters? Talk to our sales team for bulk orders and volume-based pricing.
